Tent Rental Agreement & Conduct Policy
We’re excited to help make your event smooth, stress-free, and memorable. Please take a moment to review the following important information regarding your tent rental.
Setup Requirements & Site Preparation
Our team handles delivery, setup, and takedown so you can focus on your event.
The installation area must be cleared and ready prior to arrival (vehicles, furniture, debris, and snow removed).
Tents are typically secured by staking into the ground for safety.Customers are responsible for identifying and marking any private underground utilities (irrigation, invisible dog fences, private electrical, etc.).
We will contact 811 to have public utilities marked prior to installation.
If staking is not possible, tents must be secured with approved weights, which may result in an additional charge. If neither staking nor weighting can be completed, the renter assumes full responsibility and liability.
Permits & Local Regulations
Depending on your city or event type, a fire or building permit may be required.
Customers are responsible for obtaining any necessary permits.

Your safety is our top priority.
Tents must be evacuated during high winds (30+ mph) or severe weather.
Customers should have an emergency or evacuation plan in place.
A sample evacuation plan can be provided upon request.Care & Use Guidelines
To keep our equipment in top condition for all customers:
- No open flames, fire pits, or heaters under or near the tent unless approved
- No grilling or cooking equipment inside the tent
- Do not attach items using staples, nails, tape, or adhesives
- Avoid confetti, streamers, or anything that may stain or damage the tent
- Do not use sharp objects that could puncture or damage the fabric or frame
- Decorations must be removed carefully
Damage & Responsibility
We take pride in providing clean, high-quality equipment.
Tents are inspected before and after each rental.
Customers are responsible for any damage, loss, or excessive cleaning required.
Repair or replacement costs will be charged accordingly.Additional Items & Services

Same-Day Cancellations:
Customers who cancel within 24 hours of their rental start time will not be eligible for any refund or credit (with limited exceptions). The full payment made by the customer will be retained by Relax & Rent.Within 7 Days Cancellation:
If a renter cancels their reservation within 7 days of the scheduled rental time, they will not be eligible for a refund. However, the renter will receive a reschedule credit equal to the full amount of the original rental fee. This credit can be applied toward a future rental and must be used within 30 days of the original rental date. Rescheduled rentals are subject to availability, and pricing may vary based on seasonal rates. Failure to use the reschedule credit within the allowed timeframe will result in forfeiture of the credit. No exceptions will be made.Exceptions to Same-day Cancellation Policy:
If you feel you have a special circumstance that warrants a refund despite late cancellation, please call as soon as you are aware that you will not be able to make your rental. Exceptions will be made on a case-by-case basis, based at the sole discretion of Relax & Rent. Thank you for your understanding.Inclement Weather: Does not require a 24-hour notice, but clients MUST call and speak to a reservationist or leave a voice message. Bad weather often passes, and you may want to go out once weather clears or reschedule for a different date. No penalty or change fees for cancellations or changes due to bad weather.
